This policy explains what personal data PlanJolly collects, how we use it, and the rights you have over it. PlanJolly is a wedding-planning app provided by Bayek Limited, a company registered in England and Wales. In this policy, “we”, “us” and “our” mean Bayek Limited.

Who we are

Bayek Limited is the data controller for the personal data described here. Company number 11789580; registered office Belgrave Close, Walton-on-Thames, Surrey, KT12 5PH.

We are registered with the Information Commissioner’s Office (ICO), the UK’s data-protection regulator, under reference 00014466938.

The data we collect

  • Account details – the email address you sign in with (if you use Sign in with Apple, this may be a private relay address Apple creates for you).
  • Wedding details – the names you enter, your wedding date, your venue setup, and the size of your wedding.
  • Your planning data – the tasks on your timeline, what you’ve completed, and any budget figures and costs you add.
  • Supplier details – the contact details you save for suppliers, and the messages and attachments you exchange with them through the app. Attachments can contain documents such as quotes and invoices.
  • Subscription status – whether you’re on a free trial or a paid plan. Payments are handled by the App Store or Google Play; we don’t see or store your card details.
  • Technical data – a device token if you turn on notifications, and basic information needed to keep the app secure and working.
  • Communications preferences – if you choose to receive optional emails from us (see “Emails we send you” below), we keep a record of your preference and whether you have opted out.

We do not use third-party analytics, crash-reporting or advertising SDKs, and we do not track you across other apps or websites.

Our beta invite list

If you join the beta invite list on our website, we keep the name, email address and phone platform you give us, and use them only to send you a beta or launch invite. The legal basis is your consent. We delete the list within three months of the app launching, and you can ask to be removed at any time by emailing support@planjolly.com.

How we use your data, and our legal basis

We use your data to provide PlanJolly: to build and update your plan, keep it in sync between you and your partner, track your budget, and send the messages you choose to send to suppliers. The legal basis for this is performance of our contract with you, set out in our terms.

We use limited data to keep the service secure and to fix problems. The legal basis is our legitimate interest in running a safe, reliable app.

If you turn on notifications, we use your device token to send them. You can turn these off at any time in Settings or in your device settings.

Suppliers’ personal data

When you save a supplier’s contact details or message them through PlanJolly, we process personal data about that supplier (for example their name, email address and the content of your messages). Many wedding suppliers are sole traders or small businesses, so this may be third-party personal data that the supplier has not given to us directly.

Our legal basis for processing supplier data is our legitimate interests (and yours) in letting couples contact and organise their suppliers through the app. We have weighed this against suppliers’ interests and only process what is needed for that purpose. Because we receive this data from you rather than from the supplier, we rely on the exemption in Article 14(5) of the UK GDPR where providing individual notice would involve disproportionate effort; a supplier can still ask us what data we hold, ask us to correct or delete it, or object to our use of it, by emailing support@planjolly.com.

Who we share it with

We use a small number of trusted providers to run PlanJolly. They only process your data on our instructions:

  • Supabase – hosting, database and file storage, on Amazon Web Services in Ireland (the EU).
  • Resend – sending and receiving the emails you exchange with suppliers, in the EU.
  • RevenueCat, Apple and Google – managing subscriptions.
  • Expo – delivering app updates and sending push notifications. Expo processes a device token and basic device details for us, in the United States.

When you email a supplier through PlanJolly, your message and any attachments are processed by our email provider and delivered to the supplier’s inbox. Email is not end-to-end encrypted, so a copy will exist with the provider and with the people you email. Only send what you’re comfortable sharing that way.

We don’t sell your data, and we don’t share it for advertising.

Where your data is stored

Your data is stored on servers in the EU (Ireland).

Bayek Limited is based in the UK, so your data is accessed from the UK, and some of our providers (such as Expo, RevenueCat, Apple and Google) may process limited data in countries outside the UK and the EU, including the United States. Where data is transferred outside the UK, we rely on an appropriate safeguard recognised under UK data-protection law – either a UK “adequacy” decision for the destination country, or the UK International Data Transfer Agreement (or the UK Addendum to the EU Standard Contractual Clauses). You can ask us which safeguard applies, and for a copy of it, by emailing support@planjolly.com.

How we keep it safe

Files you upload are kept in private storage that only members of your wedding can reach, using time-limited access links. Data is encrypted in transit and at rest.

No system is perfectly secure, and as above, email leaves our control once it’s sent. Please keep access to your sign-in email secure, since that’s how you get into your account.

Planning together

A PlanJolly wedding has two seats. If you invite a partner, both of you can see and edit the shared plan, including tasks, budget and supplier messages. Only invite someone you’re happy to share this with.

Each seat is a separate person with their own data-protection rights, and each of you can see the data the other adds. If you need to remove a partner’s access – for example if your plans change – email us at support@planjolly.com and we will remove the seat for you. Removing a seat stops that person from seeing or editing the plan going forward; it does not delete the shared plan itself, which stays with the account holder. Deleting an account is different – PlanJolly weddings are shared, so deleting your account deletes the whole shared wedding, and if your partner has joined, the plan is removed for them too. See “Deleting your account” below.

How long we keep your data

We keep your data for as long as your account is active. If you delete your account, we remove your data, including the files stored for your wedding.

A few practical points on deletion: we may keep a limited amount of data for a short period after deletion where the law requires it or where we need it for a specific reason – for example, subscription and payment records that we (or Apple and Google) must retain for tax and accounting purposes, and copies held in routine backups, which are overwritten on a rolling cycle. We also can’t recall emails you have already sent to suppliers, as those sit in the suppliers’ inboxes and with our email provider outside our control. Once any such period ends, the data is deleted or anonymised.

Emails you send to support@planjolly.com are kept for up to 24 months after the matter is closed, so we can deal with follow-ups and show how we handled your requests, and are then deleted.

Deleting your account

You can delete your PlanJolly account and its data at any time, in either of two ways:

  • In the app – go to Settings and choose “Delete account”. This removes your account and the data described in this policy.
  • By email – write to support@planjolly.com from the email address you sign in with and ask us to delete your account. We will confirm the request and complete the deletion.

PlanJolly weddings are shared. Deleting your account deletes the whole shared wedding, so if your partner has joined, the plan is removed for them too. The app asks you to confirm this before anything is deleted.

Either route triggers the same full deletion. The practical points above – records we must keep for tax and accounting purposes, and rolling backups – apply to both.

Emails we send you

We send you the emails needed to run the service – for example your sign-in link, and the messages you choose to send to suppliers. We may also send you occasional onboarding or product emails to help you get the most out of PlanJolly. Where these are marketing emails, we send them only on the basis you would expect: either your consent, or, where the law allows, because you are an existing customer and the emails relate to our own similar services. Every marketing email includes an easy way to opt out, and you can also change your preferences by emailing support@planjolly.com at any time. Opting out of marketing won’t stop the essential service emails you need to use your account.

Your rights

Under UK data-protection law you have the right to access your data, correct it, delete it, restrict or object to how we use it, and ask for a copy in a portable format. To exercise any of these, email support@planjolly.com.

You also have the right to complain to the ICO at ico.org.uk if you’re unhappy with how we’ve handled your data.

Children

PlanJolly is intended for people aged 18 and over, and isn’t directed at children.

Changes to this policy

We may update this policy from time to time. If we make a significant change, we’ll let you know in the app.
